Base Calendars

Calendars determine the standard working time and non-working time, such as weekends and holidays, for the project.

Project calendars are used to determine the resource availability, how resources that are assigned to tasks are scheduled, and how the tasks themselves are scheduled. Project calendars and task calendars are used in scheduling the tasks, and if resources are assigned to tasks, resource calendars are used as well.

Calendars override each other's settings in the following ways.

When you create a task, the project calendar schedules the task.

When you add a resource to a task, the resource calendar controls the scheduling of the task.​

To work with calendars, click Project, then click Change Working Time.​

Description
Base calendars   

These are the foundations for the other types of calendars. You can also choose a base calendar to be the project calendar, and you can apply a base calendar to tasks as a task calendar or as the default hours for a resource calendar. You can customize your own base calendar by using any of the base calendars provided.

Project provides three base calendars:

The Standard calendar    The Standard calendar is the default calendar for the project, and is the basis for resource calendars. This calendar reflects a traditional work schedule: Monday through Friday, 8:00 A.M. to 5:00 P.M., with an hour off for break.

24-Hours calendar    All time, from Sunday through Saturday, 12:00 A.M. to 12:00 A.M., is set as working time. The 24-Hours calendar reflects a schedule with no nonworking time at all. The 24-Hours calendar can be used when resources and tasks are scheduled for different shifts around the clock, or when equipment resources work on tasks continuously.

Night Shift calendars    The Night Shift calendar reflects a graveyard shift schedule of Monday night through Saturday morning, 11:00 P.M. to 8:00 A.M., with 3:00 A.M. to 4:00 A.M. designated as nonworking time for break.

Project calendars   These set the standard working and non-working times for the project as a whole. If resource calendars or task calendars are not used, tasks are scheduled during the working time on the project calendar by default.
Task calendars   

These can be used to define working times for tasks outside the working times in the project calendar. Task calendars are created like other calendars. When a task calendar is assigned to a task and the resource assigned to the task has different working times in its resource calendar, the task is scheduled for the overlapping working time of the two calendars.

If no task calendar is specified for a task, the Project calendar will be used to schedule the task.

 

Custom Calendars

Add holidays and vacation days

Holidays, vacations, medical leave. People take time off. And keeping track of nonworking time is critical for making sure your project meets its deadline.

Planner doesn't include present holidays, but you can add them the same way you add vacation days:

Click Project > Change Working Time.

In the For calendar list, click the calendar you want to change.

For holidays, use the current project calendar. It has the words (Project Calendar) after its name.

For vacation days, use the person's resource calendar. It has the same name as that person.

On the Exceptions tab, add a name, start date, and finish date for each holiday or vacation day.

Project reschedules tasks around the new nonworking time.​

Assign a base calendar to a resource

After establishing a base calendar for a specialized schedule (other than the Standard project calendar), you can base a resource's working times on this calendar.

  1. On the View menu, click Resource Sheet.
  2. In the Resource Name field, select the resource you want to assign a calendar to.
  3. In the Base calendar column, select the calendar you want to assign to the resource.

For example, if the selected resource works the night shift, click Night Shift to assign this as the resource's base calendar.

By default, the Standard calendar is the project calendar. The project calendar is applied to all resources as you add them. You can either assign a different base calendar to the resource, or you can modify the individual resource calendar.

Assign a base calendar to a task

After establishing a base calendar for a specialized schedule (other than the Standard project calendar), you can base a taskfgt's working times on this calendar.

  1. On the View menu, click Gant Chart.
  2. In the Task Name field, select the task you want to assign a calendar to.
  3. Open Task Information dialog, on Advanced tab select Base Calendar

Or

Insert in view Task calendar column, select the calendar you want to assign to the task.

For example, if the selected task works the night shift, click Night Shift to assign this as the task's base calendar.
